General Instructions
This chapter describes the unpacking and installation of the water phantom hardware, including check procedures and guidelines for correct placing of the equipment. It is advisable to setup the devices outside the treatment room first, and verify the connections, software functionalities, and movement of the phantom, etc., before setting-up the system in the treatment unit.

IMPORTANT NOTICE: TRANSPORT DAMAGES
Before unpacking, check for damage on the outside of the box. Note any sign of damage. If you recognize a transport damage even if this original box has been used, please contact the transport company, your IBA Dosimetry GmbH distributor, and IBA Customer Support (Section 13.1).
IMPORTANT NOTICE: TRANSPORT BOX
Transport boxes are part of the water phantom and associated equipment. They are designed to warrant the highest possible protection of the phantom during transport and storage. The original packaging (shipping box, packing materials, transport protections etc.) should be kept for possible shipment.
CAUTION: BULKY DEVICES
Because of the dimension and heavy weight of the phantom, lift table, and water reservoir it is advised that unpacking, packing, and installation is performed by at least two persons.
IMPORTANT NOTICE: INSTALLATION REPORT
Open the box and cautiously unpack all parts of the system for commissioning. Check each item of the delivery against the listed and checked items at the installation report, which is attached to equipment documents. If any parts are missing, confirm this on the installation report. If any parts are damaged, report the damage immediately to the shipping agent and contact your IBA Dosimetry GmbH distributor or the IBA Service Department near you.
The signed installation report should be returned to IBA Dosimetry (Section 13.1).
Unpacking the Lift Table and Water Reservoir
The packaging for the lift table and water reservoir are similar. Both devices are delivered in a cardboard box on a wooden pallet.
- Cut and remove fixing straps (1) and remove the edge protections (2).
- Remove the lid (3) and the sidewall. To remove the sidewall, unscrew the locks (4).
- The wood pallet is about 10 cm tall. Use at least two people to move the device off the pallet.
Electrical Lift Table
Carefully unpack the device from the transportation box; observe the general instructions stated at the
beginning of this chapter. Retain the original packing material in case shipment becomes necessary.
Inspect the Electrical Lift Table
- Check that the mains connection is in accordance with information on the device's rating label.
- Verify that the lift table is working correctly by moving it over the full vertical range.
- Check the floor condition at those locations where you want to drive or place the lift table. Check that the maximum load capacity of the floor is sufficient.
- Check the extension legs: unlock the leg by pulling out the lock and then stretch the leg outwards and lock again. Check whether the direction locks in the front wheels and the breaks on the rear wheels.
IMPORTANT NOTICE: OVERHEATING
The telescope drive is not equipped with mechanical end switches. If the highest or lowest position is reached, the drive is stopped by the electrical control unit using an over-current circuit breaker.
In the same way, the motor is also stopped in case of overheating. Wait until the temperature has decreased significantly before continuing to operate the lift table.
CAUTION: CAUTION DURING MOVEMENT OF LIFT TABLE
Because of the ability of the automatic lift-table to exert a strong force, and because of the heavy weight of the filled water-tank, exercise care during movement of the lift-table in any direction and ensure clerance around the lift-table and phantom.
Water Reservoir
Carefully unpack the device from the transportation box; observe the general instructions stated at the beginning of this chapter. Retain the original packing material in case shipment becomes necessary. Inspect the Water Reservoir
- Check that the mains connection is in accordance with information on the device's rating label.
- Check the floor condition at those locations where you want to drive or place the water reservoir. Check that the maximum load capacity of the floor is sufficient (see Section 2.4).
Filling the Water Reservoir
- Open the lid of the storage compartment on the top so that the cables and water hose are accessible.
- Prepare a container of water to be filled into the water reservoir. If you use the water tank of the phantom, fill water to ~1 cm above the maximum water level marker (1).
- Plug the power cord to the mains supply.
- Place the water hose in the water and press the Drain button on the hand control of the water reservoir. The pumping speed can be increased if the setting in pumping speed control is not yet at maximum.
Note: If the pump does not suck water by itself (due to some air inside), fill about 500 ml water into the hose, press the Drain button while lifting the hose up so that the water can flow into the pump. Then place the hose back to the water and start pumping again.
The water level can be seen by lifting the lid of the storage compartment. The filling can be stopped any
time by pressing the Stop button. When the water reservoir is full, the pump will stop automatically if the
pump is controlled by the hand control of water reservoir.
CAUTION: DRY PUMP
Do not run the pump dry for more than 5 minutes.
CAUTION: FLOODING HAZARD
If water is filled directly into the water reservoir, do not fill in significantly more water than the water phantom can hold.
CAUTION: FILLING THE WATER RESERVOIR
Never fill the water reservoir up to the ventilation hole - approximately 5cm below is sufficient.
Water Phantom
Unpacking the BP SMARTSCAN
The BP SMARTSCAN is delivered completely assembled in a corrugated cardboard box. Carefully unpack all items according to the instructions below.
CAUTION: DO NOT LIFT THE PHANTOM AT THE RAILS
Never lift the BP SMARTSCAN at the rails. Lift the phantom at the Perspex bars on the sidewalls of the
tank.
WARNING: HEAVY OBJECT
The water phantom weights about 45 kg without water. Do not lift the water phantom alone.

- Cut the tension belts and remove the top cover of the box.
- Remove the upper packing material.
- Unpack the accessories (CCU, cabling, remote control, packing list, etc.).
- Check the packing list and ensure all items have been delivered.
- Lift the phantom out of the box and place it on the lift table (this should have already been unpacked and assembled).
- Position the lift table with the water phantom to the desired location under the linear accelerator.
- Lock the lift table using the parking brakes.
- Lift or lower the platform so that the water phantom is placed at the desired height.
- Now the water phantom may be fine adjusted in vertical direction using the three big adjustment hand wheels underneath the leveling plate and in the horizontal plane by turning the lateral adjustment handle on the table platform.
- Connect the CCU and remote control to the phantom (see also Chapter 5) and move the Z-axis upwardsto release the transport lock from the mechanics.
IMPORTANT NOTICE: PACKING LIST
The standard items and all additional items according to the purchase order are stated on the packing list coming with the BP SMARTSCAN. In case of discrepancies between your purchase order and consignment, please contact IBA Dosimetry (Section 13.1).
Device Connection Overview

The CCU is placed in the treatment room. It is connected to the computer via an Ethernet switch, and
connected to the water phantom via a drive control cable and two detector extension cables.
IMPORTANT NOTICE: LONG CABLE
In general, a long cable is required to connect the CCU to the local network or computer. The long cable may reduce the signal significantly. An Ethernet Switch serves as signal amplifier, and provides more parallel connections to several devices.
CAUTION: ELECTRICALLY DAMAGED CABLES
Ensure that there is no electrical damage of the cables before using them.
Minimum Requirement of Network Infrastructure
- 100BASE-TX 100MBit/sec fast Ethernet with auto-negotiation
- Cabling: CAT-5 or CAT-6; maximum segment length: 100 m; the wiring must be carried out according to TIA / EIA-568-A / B /'s Termination Standard.
